What You Will Do

This role sits at the front end of the case journey and follows a case all the way through to filing and closure. You'll be the first line of defense against incomplete or low-quality evidence and documentation, and the last check before data moves into case production, legal review, or long-term records.


In this role, you will:

  • Manage case onboarding: setting up new case files, initiating intake documentation, and ensuring all required data is captured accurately from day one
  • Thoroughly examine submitted data and documents to confirm accuracy, completeness, compliance, and validity against application requirements
  • Take ownership of identifying errors, inconsistencies, or gaps in documentation, and communicate them to the Project Manager (PM), Attorney, Management, or other departments involved on the case, on a timely basis
  • Clean up data entries, correct formatting issues, and ensure information is mapped to the correct fields and entry points
  • Ensure all information entered into case management systems and case documents is complete, accurate, and up to date before finalizing, minimizing errors that could affect case processing
  • Track, log, and process incoming notices, correspondence, and other case-related documents, including but not limited to receipts, approvals, requests for evidence (RFEs), denials, and audit or compliance notifications from USCIS and DOL; update case management systems and notify the Project Manager (PM), Attorney, Management, or other involved departments of status changes in a timely manner
  • Conduct periodic case and employee file audits to confirm documentation is complete, accurate, and audit-ready (e.g., I-9s, public access files, and other compliance records)
  • Stay current on product and process changes by attending company-organized training sessions and workshops
  • Adhere to internal service level agreements (SLAs) for data and document review turnaround
  • Follow protocol to maintain the strict security and privacy of our clients' information
  • Handle case offboarding: closing, finalizing, and archiving completed or terminated case files in line with company and compliance standards
  • Take on additional responsibilities, projects, or process changes as assigned by management, in line with evolving business and case needs.


Who You Are

We're looking for a Case Administration Specialist I to own the day-to-day administration of a caseload from onboarding through offboarding. You keep case files accurate, complete, and audit-ready at every stage, and you catch errors and gaps before they become someone else's problem.


You're organized, detail-oriented, and comfortable following a defined process precisely. You communicate clearly when something needs attention, whether that's flagging a discrepancy to a Project Manager (PM), an Attorney, or Management. You're comfortable using AI tools to keep documentation organized and ready for the systems that rely on it, and you take client confidentiality seriously.

What You Bring

  • 6 months to 1 year of experience in an administrative, back-office, case coordination, or document management role (data entry, intake, validation, or document preparation experience preferred)
  • Keen attention to detail with a strong sense of ownership over accuracy and compliance
  • Excellent verbal and written communication skills, with the ability to follow up effectively with Project Managers (PMs), Attorney, Management, clients, and partners
  • Strong time management skills, with the ability to manage multiple cases and tasks while prioritizing deadlines
  • Comfortable managing a case from onboarding through offboarding and archiving
  • Exposure to or willingness to learn USCIS/DOL notice types (receipts, approvals, RFEs, denials) and basic compliance audit processes (e.g., I-9s, public access files) is a plus
  • Comfortable using AI tools (e.g., Gemini, Claude, ChatGPT) to support document review and case data organization
  • Ability to adapt and learn new processes and products quickly
  • Comfortable working in Google Drive/GSuite, Adobe, and MS Suite, and other document management or workflow platforms
  • Familiarity with immigration or legal documentation processes is a plus, but not required.
